Booking the cruise is only step one.

After that, there are flights, hotels, passports, final payment, dining, shows, check-in, luggage tags, excursions, drink packages, theme nights and all the other little things that can sneak up on you if you wait too long.

The easiest way I’ve found to manage it is to think about cruise planning as a countdown.

Some Royal Caribbean dates are firm. Others vary by ship or sailing. I’ve separated those so you know which deadlines you can put on your calendar and which things you simply need to start watching for.

180+ days before sailing: handle the big pieces first

Right after I book a cruise, I focus on the things that can create much bigger problems later.

I request the time off work, start looking at flights, begin checking hotels, make sure everyone has the right travel documents and confirm our travel insurance will still be active on the dates we sail.

We always try to arrive in the cruise city the day before departure.

Ideally, I want a flight that gets us there before dinner. That gives us breathing room if there are delays and lets us relax at the hotel instead of starting vacation stressed out.

I also start looking at hotel options near the airport or cruise port. If I can use points or a free-night certificate, even better.

If someone traveling with us still needs a passport, I want that process started early too.


120 days before sailing: final payment for 15+ night cruises

Royal Caribbean says final payment is due 120 days before sailing for cruises that are 15 nights or longer.

If you’re on a longer sailing, put this date on your calendar as soon as you book.


90 days before sailing: final payment for 5–14 night cruises

Royal Caribbean says final payment is due 90 days before sailing for cruises that are 5 to 14 nights long.

This is also a good point to start paying closer attention to dining.

Specialty dining

Royal Caribbean says specialty dining reservations can be made starting 90 days before sailing and continue until two days before the cruise begins.

If there’s a restaurant or time you really want, I would start looking at 90 days.

My Time Dining

My Time Dining is a little less exact. Royal Caribbean says it strongly recommends making My Time Dining reservations before sailing because popular times can fill, but it does not publish one universal opening day for every sailing.

So I start checking around 90 days out. For our family, I usually try to reserve something around 6:45 p.m. If the time I want is not available yet, I keep checking.


75 days before sailing: final payment for 1–4 night cruises

Royal Caribbean says final payment is due 75 days before sailing for cruises that are 1 to 4 nights long.

This is worth noting because many shorter cruises hit final payment sooner than people expect.


60–90 days before sailing: start watching Cruise Planner pricing

This is when I’m actively watching prices for things like:

  • beverage packages
  • VOOM internet
  • specialty dining
  • shore excursions
  • Thrill Waterpark
  • beach clubs
  • other pre-cruise add-ons

I do not wait for a sale name that sounds impressive. I decide what price I’m comfortable paying and book when I see it. Then I keep watching.

If the price drops later and I’m still within the applicable cancellation window, I can often cancel and rebook at the lower price.

Beverage packages

Royal Caribbean says beverage packages can be purchased online up to 72 hours before departure.

Royal Caribbean also says beverage package orders can be cancelled through My Royal Cruise up to 2 days before the sail date for a full refund.

Shore excursions

Royal Caribbean says standard excursions can generally be modified or cancelled up to 48 hours before port arrival without penalty.

However, tours involving flights, trains, special events, overnight stays, hotel stays or Private Journeys must be cancelled 30 days before sailing to avoid penalties.

That’s why I don’t treat every Cruise Planner item as though it has the same deadline.


45 days before sailing: check in

This is one of the biggest dates on the entire timeline.

Royal Caribbean app check-in opens 45 days before sailing.

That’s when I scan passports, upload security photos, complete traveler information and choose our arrival time.

I like doing this as soon as it opens because I want the best selection of arrival times available.

Royal Caribbean says website check-in remains available up to 48 hours before sailing, but I would not wait that long if arrival time matters to you.

And scanning your passport in the app does not replace bringing the actual travel document with you.


30–50 days before sailing: watch for eDocs and luggage tags

Royal Caribbean says guests usually have access to cruise documents around 30 days before sailing once the reservation is finalized.

If you booked with a travel advisor, Royal Caribbean says documents may be sent to the advisor 20 to 50 days before sailing.

Your eDocs include your luggage tags.

Once mine appear, I print enough for every bag we plan to hand to the porters.

If you forget, Royal Caribbean says generic tags are available at the pier, so it is not a disaster.


First day of the month before sailing: book shows

This is one of the clearest reservation dates Royal Caribbean publishes.

Royal Caribbean says show reservations open on the first day of the month before sailing on eligible ships.

So if your cruise leaves April 18, start checking on March 1.

Royal Caribbean says pre-booking is available on select:

  • Oasis Class ships
  • Icon Class ships
  • Quantum Class ships

On Freedom, Voyager, Radiance and Vision class ships, show reservations generally are not required and seating is first-come, first-served.

Royal Caribbean also says online show reservations close 4 days before the sail date.


14–21 days before sailing: check the app more often

This is when I start looking at the Royal Caribbean app much more frequently.

Royal Caribbean says theme-night information is generally available about a week or two before departure, and it recommends checking the app regularly as sailing gets closer.

This is when I start looking for:

  • theme nights
  • suggested attire
  • updated entertainment times
  • activities
  • sailing-specific schedule details

I do not treat this as a guaranteed release date. It’s simply the point where I start watching closely.


7 days before sailing: do one last Cruise Planner review

About a week before sailing, I check the price of everything I already bought.

That includes:

  • beverage packages
  • internet
  • specialty dining
  • excursions
  • beach clubs
  • waterpark tickets

If something is cheaper and I’m still inside that item’s cancellation window, I consider cancelling and rebooking.

This is also when I make sure our dining and entertainment reservations still look the way I want them.


4 days before sailing: last call for pre-booked shows

Royal Caribbean says show reservations can be made online up to 4 days before the sail date. After that, you would need to try to reserve onboard, subject to availability.

If you are sailing on a ship that uses reservations, this is the last point I would want to realize I forgot to book something.


2 days before sailing: several deadlines start closing

This is an important checkpoint.

Beverage packages

Royal Caribbean says beverage package orders can be cancelled up to 2 days before the sail date for a full refund.

RoyalUp

Royal Caribbean says RoyalUp bids can be modified or cancelled up to 2 days before departure.

Shore excursions

Standard shore excursions can generally be modified or cancelled up to 48 hours before port arrival. So if you like to watch prices until the very end, this is when you need to pay close attention to each product’s rules.


24 hours before specialty dining: watch the cancellation deadline

Royal Caribbean says specialty dining reservations should be cancelled at least 24 hours before the reservation time.

Cancellations within 24 hours are subject to a standard $25 per person fee, and individual venues can have their own policies.

If you change your mind about dinner, don’t wait until the last minute.


1 day before sailing: arrive in the cruise city

This is a personal rule for us, but it’s one I feel strongly about.

We try to arrive the day before the cruise.

That way, a flight delay does not automatically become a cruise problem.

Once we arrive, we check into the hotel, have dinner, and get everything ready for the next morning.

Because we usually fly carry-on only, I may also place an Instacart order for full-size toiletries, sunscreen, snacks or other things I don’t want to pack for the flight.

The night before the cruise, I want:

  • passports and travel documents together
  • luggage tags attached
  • transportation to the port confirmed
  • boarding information ready
  • medications packed in carry-on luggage
  • everyone clear on the morning plan

At that point, I want the planning to be done.

Watch for eDocs and luggage tags around 30 days.

Book eligible shows on the first day of the month before sailing.

Then use the final two weeks to fine-tune everything instead of trying to plan the entire vacation at once.

That is how I keep cruise planning manageable from the day we book until the day we sail.
